Parent/Carer Consent & Participation Policy

A clear guide to safe, nurturing and enjoyable experiences for babies, children and their families at Play, Learn, Grow and Baby Moon sessions.

A required booking acknowledgement

The person making every booking must confirm that they have read and understood this policy before a place can be reserved. For adult-only sessions, please acknowledge that you have read it; the parts relevant to your booking and attendance apply.

1. Parent & carer responsibility

Parents and carers must remain with and actively supervise their child or children throughout the session. Facilitators plan and deliver activities and create a safe, welcoming environment, but do not replace a parent or carer or provide individual child supervision.

  • Interaction with equipment, other children and the surrounding environment

Please stay close to your child and step in whenever you feel an activity, environment or interaction may not be suitable.

2. Sound & sensory instruments

Sessions may use crystal singing bowls, drums, chimes, tuning forks, rain sticks and other acoustic or sensory instruments. By attending, parents and carers consent to these instruments being used around their child.

Sound and sensory experiences are introduced calmly, thoughtfully and in an age-appropriate way. Every child responds differently, so please observe your child and tell the facilitator if they become uncomfortable, distressed, overwhelmed or wish to move away. Children will never be forced to participate.

3. Outdoor & natural environments

Some Play, Learn, Grow sessions take place in woodland, parks, outdoor spaces or other natural environments. Families are asked to care for the environment and remain within boundaries identified by the facilitator.

  • Respect wildlife, other visitors and the venue
  • Follow reasonable safety instructions
  • Take rubbish home or use appropriate bins — our approach is leave no trace

4. Food, snacks & allergies

Some sessions may include snacks, treats or food-based sensory activities. Please tell us before attending about known food allergies, intolerances, dietary requirements and relevant food-related medical concerns.

Parents and carers decide whether their child may consume food or drink and remain responsible for supervising them. Food or drink will only be consumed with a parent or carer’s consent. Although reasonable precautions are taken, relevant information must be shared before the session.

5. Accidents & incidents

Reasonable steps are taken to maintain a safe environment and to consider activities and equipment carefully. Sensory, creative, physical and outdoor play can still involve minor accidents or incidents.

Any accident, injury or significant incident will be handled appropriately and communicated to the parent or carer. Where appropriate, an incident or accident may be recorded. Please tell us about any medical, physical, sensory, developmental or other needs that could affect safe participation.

6. Safeguarding

The safety and welfare of every child is paramount. Any safeguarding concern identified during a session will be taken seriously and handled in line with the Safeguarding Policy and relevant procedures.

Where necessary, concerns may be shared with appropriate safeguarding professionals or statutory services. Confidentiality cannot be promised where a concern relates to a child’s safety or welfare.

7. Participation & individual needs

Sessions are designed to encourage exploration, connection, creativity, sensory development and positive experiences. Children are encouraged to take part at their own pace and will never be forced to join an activity.

Please share individual needs with the facilitator so reasonable adjustments can be considered where possible. Parents and carers should remove their child from an activity or area if they feel the child is distressed, overwhelmed or unsafe.

8. Respectful behaviour

We ask families to treat other children and families, facilitators, venue staff, equipment, resources, wildlife and the natural environment with kindness, care and respect.

A family may be asked to leave a session where behaviour presents a significant risk to the safety or wellbeing of a child, other participants, facilitators or the environment.

9. Photography & recording

Photography or short video may occasionally take place during sessions for promotional or social-media purposes. Identifiable images of children will only be used with the appropriate parent or carer consent.

Please respect the privacy of other families and do not photograph or record other children without appropriate permission.

10. Responsibility & consent

By booking and attending a Play, Learn, Grow or Baby Moon session, the parent or carer confirms that they have read and understood this policy; will remain responsible for their child or children; consent to sound bath and sensory instruments being used around their child; will follow reasonable safety instructions; will respect the venue and natural environment; and will provide relevant information about allergies, dietary requirements, medical needs or other circumstances that may affect participation.

They also understand that food or drink is only consumed with their consent, that accidents and incidents can occur and will be handled appropriately, that safeguarding concerns will be acted on where necessary, and that the information they provide must be accurate and complete.

By completing a booking and ticking the consent box, I confirm that I have read, understood and agree to this Parent/Carer Consent & Participation Policy. I understand that I must remain with and supervise my child or children throughout the session.
